Manage appointments

Approve or decline requests, cancel bookings, mark no-shows, and understand the emails and calendar invites that go out.

Where to find appointments

  • Bookings shows an Upcoming list, grouped by day, across all your pages.
  • Open a booking page and choose Scheduled bookings to see everyone who booked that page, split into Upcoming and Past & cancelled.

Each row shows the invitee's name, email, optional phone, the date and time, the location, and their answers to your booking questions. A badge shows the status: Confirmed, Pending, Cancelled, Rescheduled, or Expired. On a team booking the row also shows who is meeting the invitee.

Approve or decline a request

If you turned on Require host confirmation before bookings are confirmed (on the page's Details tab), new bookings arrive as Pending. Choose Approve to confirm the booking, or Decline to reject it. The invitee is emailed either way.

A pending booking keeps its time slot while you decide. If nobody approves it within 48 hours (or before the meeting starts, if that comes first) it expires: the time is released, the invitee is told, and a payment is refunded.

Calendar event not written

If your calendar could not be reached when a booking was confirmed, the booking still stands. Formspring keeps retrying in the background and the row says Calendar event not written yet. If every retry fails the row says the event could not be written; choose Retry calendar sync (or use the API or retry_booking_calendar_sync). A retry never creates a second event.

Cancel a booking

Choose Cancel on an upcoming booking, then Yes, cancel to confirm (or Keep to back out). The invitee is notified. If they paid when booking, the payment is refunded.

Invitees can also cancel or reschedule themselves with the Reschedule or cancel link in their confirmation email.

Mark a no-show

Once a confirmed appointment has ended, a Mark no-show button appears in the past list. Choose Clear no-show to undo it.

Calendar invites and meeting links

  • With a connected Google Calendar, Formspring creates the calendar event, adds the invitee as an attendee, and removes the event when the booking is cancelled.
  • If there is no writable calendar (none connected, or only a read-only iCal feed), the confirmation email carries an .ics invite instead.
  • The location you chose (Google Meet, Teams, Zoom, phone, on site, or custom) appears in the confirmation email with your join link or details.
  • Zoom links can be created automatically once a Zoom account is connected, where Zoom is available for your workspace.

Emails

You can add extra addresses to notify on Notifications, and turn on a custom Confirmation message for invitees.
