Help articles change over time. These tools keep that safe: you can see what was live, go back to it, require a second pair of eyes, and publish at a chosen time.
Published versions and restore
Every time an article is published, or restored, Formspring keeps a copy of its title, summary and text. Open an article and look at Versions beside the editor.
- The version that is live is marked Live.
- Click Restore on an earlier published version to put its text back. The article keeps the same address, so no link breaks.
- A restore is recorded as a new version, so you can always undo it.
- Only versions that were published can be restored. Drafts you never published are not offered.
Ask for a review before publishing
Turn on Require a reviewer before publishing in the help center settings, under Languages & review. From then on:
- The writer clicks Request review.
- A teammate reads the text and clicks Approve, or Send back.
- Only an approved article can be published, by hand or on a schedule.
If the text changes after it was approved, the approval is taken back. A reviewer always approves exactly the text that goes live.
Schedule publication
Pick a date and time under Publish on and save the article as a draft. It goes live by itself at that time. If the help center requires review and the article is not approved yet, it waits and goes out on the first check after it is approved.
Owner and review date
Give each article an Owner (a teammate) and a Review due date. Articles whose review date has passed are marked in the list, so nothing quietly goes out of date.
Broken links
Formspring checks the links in your published articles every day. Open an article and click Check links to run it now. Links to other articles of the help center are checked against what readers can really open, so a link to a draft or a customer-only article is reported. Links to other websites are checked safely and slowly, and private addresses are never visited.
Import articles
Bring articles in from Markdown files, a spreadsheet or a helpdesk export. See Import and export.
Agents and the API
Everything here is available to coding agents and over the REST API, with the same permissions: list_knowledge_article_revisions, rollback_knowledge_article, review_knowledge_article and check_knowledge_article_links. See MCP tools.
